Preferred Name Changes
Preferred Name Changes:
- CUNY Policy states that students and employees are permitted to use a preferred first name and middle name on all non-official records such as ID card, email address, course rosters, etc. without the need to provide documentation (other than a complete Preferred Name Request Form). A preferred name is not a legal name, but is how the individual wishes to be addressed.
- No documentation (other than a Preferred Name Request Form) is needed to update a preferred name.
- Note that employees cannot request a preferred name change for their last name and cannot request a preferred name for a change on official documents and system entries such as the C1 name of record, benefits records, payroll records, W2, etc. These types of changes require a legal name change and a submission of applicable documentation to HR.
- Employees seeking to use a preferred name should complete a Preferred Name Request Form and then submit to the College HR Office to initiate the change.
- HR will facilitate outlook directory and ID changes for the preferred first name and advise the supervisor, department, and/or registrar that the employee should be addressed with the “preferred name” in all communications including, but not limited to verbal communications, email, memos, internal communications, department website, etc.
Gender Changes:
Please complete a Gender Change Form and submit to the Human Resources Office for C1 entries to be made. No other documentation is required.
